The Problem

Barbizon rents out an entire cruise ship for the week-long event, Passport to Discovery. With no system for room assignment, they were using names on sticky notes and a giant cork board to assign rooms. Any disruption to the board caused notes to fall down and guesswork was involved to reconfigure the board.

Barbizon needed a solution to room assignment that was reliable and took the limited number of balcony and ocean view rooms into account.

The Solution

We created a visual layout of the boat divided by deck, where they could click on a room to see the occupants, and if that cabin was designated as a boy or girl room. The new booking tool was integrated into their existing database, so it was easy for them to pull up more information on each guest. The rooms were color coded for a simple visual overview, red for a full room, yellow for partly filled rooms, and green for empty rooms.

The Result

The new system made room assignment a breeze and gave the staff time to add shore excursions and more activities to the cruise ship. Best of all, there are no more loose sticky notes floating around the office.
